What MSP Quoting Software Really Costs: Licence, Users, Onboarding and Distributor Feeds
The monthly price on a vendor's pricing page is the smallest part of the decision. To compare MSP quoting tools fairly, add up the first year: the plan, the users you need, onboarding, add-ons, distributor access, and the hours your own team spends on setup. Here is that sum for Salesbuildr, with the questions to ask any vendor.
1. The Plan
Salesbuildr has three plans. In US dollars, as listed on our pricing page in October 2026:

Every plan includes two-way PSA integration with Autotask, ConnectWise or HaloPSA, and the HubSpot integration. Advanced adds Whitespace and contract renewals. Premium adds special bids, multi-currency, price file imports, advanced approval workflows and API access. Prices are also available in EUR, GBP, AUD and CAD.
2. Users
Count the people who build and send quotes, not everyone in the company. A two-person MSP fits in Standard's three users with room for a hire. Each extra user on Standard is $65 a month. View-only users, for example someone in finance who only needs to look, are not billed. They’re available on Premium, where roles and permissions are included.
3. Onboarding
Onboarding is a one-time fee on top of the plan, not included in it: $1,099 on Standard, $1,639 on Advanced and custom on Premium. It typically takes two guided calls, sometimes three or four depending on how complex your setup is, and covers your PSA connection, distributor feeds, templates and team training.
4. Add-Ons
Storefront, the client-facing ordering portal, is a paid add-on available on Premium only. If you don't need clients ordering from a catalog themselves, leave it out of the comparison.
5. Distributor Feeds
Check how many distributors you buy from against the plan limits above. Most distributors ask you to apply for access to their pricing feed; we can request the credentials for you during onboarding.
6. Accounting and Other Tools
Salesbuildr has no built-in integration with accounting systems such as Xero, QuickBooks or Exact. If you want quote or order data in your accounting package, the Salesbuildr API can push and pull information, and webhooks can send data to endpoints in other applications. API access is part of Premium, and the API reference lists the entities and webhooks available.
A First-Year Example
A three-person MSP on Standard pays 12 × $329 = $3,948 for the plan, plus $1,099 onboarding: $5,047 in the first year. On Advanced, with five users, it is 12 × $489 = $5,868 plus $1,639: $7,507. From year two, the onboarding fee drops out.
Term and Guarantees
Plans have a 12-month minimum term, then continue on a monthly rolling basis. - What is the minimum term, and what happens after it?
- Which users count as paid seats?
- Which features in the demo are add-ons or need a higher plan?
- How many distributor connections are included?
- Does it connect to your accounting package, and how?
