What Your Client Sees: Online Acceptance, Countersigned Proposals, T&Cs and View Tracking
"What does the accept side of the world look like for the customer?" a nine-person MSP asked us on a sales call. It is a fair question. Your client never sees your catalog, your margins or your PSA. They see one link and one document, and that is where the deal is won or stalled. Here is what they get, step by step, and the settings behind each step.
1. A Link to a Proposal
Your client receives an email with a link to the proposal on your branding: your cover page, your intro letter, your terms. If you quote in more than one language, they can switch language on the proposal.
2. They Make Their Choices
The proposal is interactive where you allow it. The client can pick a model, set quantities and tick the optional items you included, and the totals update as they go. If you offered Good, Better and Best, they choose between your packages instead of asking you to re-quote. Optional items, choices, forms, chat and a PDF version are all there when you enable them; see quoting.
3. Your Signature Is Already On It
"Do we have countersign functionality?" comes up on sales calls too. In Salesbuildr, the countersignature is in place before the proposal goes out:
- Each user sets their signature once, in Manage My Profile.
- Add the signature placeholder to your quote template or to a single quote.
- Your signature appears on the proposal when you send it. When the client accepts, their signature appears next to yours.
There is no separate countersign step after the client signs, so nothing sits waiting on your desk.
4. They Accept Your Terms
When the client approves the quote, they consent to your terms and conditions. You choose whether that consent is explicit, where the client actively agrees to the terms, or implicit in accepting the quote. Attach your T&Cs or MSA to the template so they travel with every quote.
5. They Accept Online
The client accepts on the proposal itself, with no printing, signing and scanning. Regular quotes don't ask for card payment; online checkout only applies to client orders through Storefront, a paid add-on on Premium.
What You See
On your side, Salesbuildr shows you when the client opens or views the proposal, so you can time the follow-up call instead of guessing. Every view, approval and status change is logged in the quote's activity, which settles "did they see the latest version?" in a few seconds. If the quote is about to expire, Salesbuildr sends one expiry reminder.
Before a quote reaches the client at all, approval workflows can hold it for internal sign-off: simple threshold rules, for example on discount or margin, or advanced multi-step workflows on Premium.
After They Accept
Acceptance moves the deal into your PSA: the opportunity status, the quote and, depending on your PSA and settings, recurring contracts, a delivery ticket and purchase orders. Our post on what should happen in your PSA when the client says yes covers Autotask, ConnectWise and HaloPSA one by one.
Check It Yourself
Send your next proposal to your own email address first. Open it on your phone, change an option, and read it as the client would. Anything you have to explain on a call is something the proposal should say.
