How to Choose MSP Quoting Software: A Buyer’s Checklist
Most MSP quoting tools look alike in a demo. The differences show up later, in your PSA, your catalog and your first renewal. Use this checklist to compare vendors on the things that decide whether the tool sticks.
The short answer: choose the tool that fits your PSA first, then your catalog, then your proposal process. Check what happens in your PSA when a client accepts, how distributor prices get into a quote, and how much of the admin after the “yes” it takes off your team. Ask every vendor to show it on your own PSA, not a demo account.
1. PSA Fit
- Does it integrate natively with your PSA, or through middleware?
- Which records sync, in which direction and how fast: companies, contacts, opportunities, quotes, products, contracts?
- What does an accepted quote create or update in your PSA?
- What doesn’t sync, and where do sync errors show up?
Reference: what syncs between MSP quoting and your PSA.
2. Catalog and Distributor Pricing
- Which of your distributors are connected, and how often do prices refresh?
- What happens to a quote you’ve already sent when a price changes?
- Can you set customer-specific prices and handle special bids?
- Where do services and labour come from: your PSA or the quoting tool?
Reference: how distributor price feeds work.
3. Proposals and Acceptance
- Can you build reusable templates and blocks, so a new quote is an edit, not a rewrite?
- Can the client accept online, with your T&Cs, and can you see when they opened it?
- Do proposals look the same no matter who on the team builds them?
Reference: build one reusable MSP proposal.
4. Approvals and Margin
- Can you set approval thresholds on discount, markup, value or recurring revenue?
- Can approvals run in order, or in parallel?
- Is cost and margin visible per line before the quote goes out?
5. Recurring Services and Renewals
- Can one proposal hold monthly services, one-off hardware and project work, with terms?
- Does acceptance create or extend the contract or agreement in your PSA?
- Can you see which existing clients don’t buy which services yet?
Reference: quoting recurring services and whitespace analysis.
6. After the Yes
- Can acceptance open a ticket or sales order for delivery, and create purchase orders?
- Does operations see exactly what was sold?
7. API and Automation
- Is there a public, documented API, and what can it write, not just read?
- Which plan includes API access?
8. Total Cost and Onboarding
- What is the full first-year cost: licence, users, onboarding and distributor feeds?
- How long until you’re quoting live, and what does the vendor need from you?

The Demo Script: Ask Every Vendor to Show You
- A quote built from your own PSA catalog plus one distributor product.
- A discount that triggers an approval.
- The client accepting online.
- Your PSA one minute later: the opportunity, the quote lines and the contract or agreement.
- A sync error, and how you’d find and fix it.

Frequently Asked Questions
What should MSP quoting software do?
At minimum: build quotes from your PSA catalog and distributor pricing, produce a branded proposal the client can accept online, enforce your discount and margin rules, quote recurring and one-off items together, and update your PSA when the client says yes.
What questions should I ask in an MSP quoting software demo?
Ask the vendor to show, on your own PSA, what happens when a client accepts: which records are created or updated, in which direction and how fast. Also ask how distributor prices refresh, what a sent quote does when prices change, how approvals work, and what onboarding involves.
How long does it take to set up MSP quoting software?
It depends on the tool and on how ready your catalog is. Most MSPs are live and quoting in Salesbuildr within 2–4 weeks of kickoff. A clean catalog and a clear stage map shorten it; the setup prep checklist on our blog lists what to prepare.
